race sanctioning requirements

What race sanctioning (or recognition by AURA) means is that

  1. the races will be included in the AURA events calendar as published on the AURA website and in Ultramag, free of charge. Events not sanctioned will not be included in our events calendar. Events shorter than ultras will not be included, unless attached to an ultra as a lesser option.

  2. the races will be similarly listed in the race calendar of the IAU

  3. the races will count towards the AURA points competition. Events not listed in the AURA events calendar will not count towards this competition.

  4. the performances will count towards the selection of teams to contest the IAU Trail World Challenge, IAU100km World Cup and IAU 24 hour World Challenge events. Performances in non-sanctioned events will be ignored for purposes of Australian team selection.

  5. the races will be publicised in the AURA monthly email newsletter in advance of the event, free of charge

  6. there will be a summary webpage provided, free of charge, similar to that at http://www.aura.asn.au/MansfieldToBuller.html

  7. a more detailed webpage or pages can be maintained at a small additional charge

  8. race results will be reported on the home page of the AURA website within 24 hours of them being furnished to us, free of charge and on the event webpage.

  9. a summary of the race results will be listed in our monthly email newsletter free of charge.

  10. full race results and pics will be published in Ultramag, free of charge. Non-sanctioned races will not be reported.

  11. performances in measured races (road and track) will be included in the AURA year and all-time rankings lists and will be eligible for open and age group records. Performances in non-sanctioned races will be ignored for these purposes.

To be included in the race calendar, the event must carry approvals from Police (where required) and from other State or municipal authorities, where required.  If the RD is unable to furnish copies of the approvals and a certificate of currency for Public Liability insurance, the race will omitted from the calendar in subsequent years. It is also expected that the race will be conducted to a reasonable standard.

AURA is ready to assist in gaining any approvals. Our experience is that once approvals are in place then the gaining of approvals for subsequent editions of the event is relatively simple. AURA can provides liability insurance for the race, where not already in place, see below.

Also, to be included in the calendar, new races must not clash (as far as is reasonably possible) with existing ones already sanctioned. The calendar close-off for a year will be by 30 November the preceding year. Existing races will be expected to use the same corresponding date for the following year where practicable.

Race Directors are expected to not make statements or do any acts which would have the effect of bringing the sport into disrepute. For races to be sanctioned, Race Directors will not make any statements in a public forum or otherwise which will call into question the competence, integrity or reputation of AURA or any of its Executive. AURA reserves the right to not accept races for inclusion in or to add races to its race calendar at its sole discretion. Likewise, it reserves the right to delist races from its calendar at its sole discretion without notice and without the need for furnishing any reasons therefor.

It will be a requirement that AURA be furnished with complete and final results of races within 7 days of the race. These need to be furnished to three separate AURA volunteers, if you would please

Continued failure to comply will result in the race being deleted from the calendar. It is our view that a race has no value, from a promotional point of view, unless results and pics can be reported promptly after the event.

In exchange for event sanctioning there will be

  1. a nominal fee of $100 per hundred competitors or part thereof. These numbers will be determined according to the total numbers at the race meet. For example if there were 55 in the ultra and 250 in a lesser option (say 25km) then the fee would be $300. The fee would be payable by end January for the coming year and provisional numbers would apply based on those of the previous year.

  2. a requirement that entrants be members of AURA or, if not already members, that a raceday membership fee be paid of 10% of the standard entry fee. This would be payable to AURA within 30 days after the racedate. This membership requirement (either permanent or race-day) is required for insurance purposes. In other words, the provision of liability insurance by our insurers is contingent upon the competitors being members of AURA. It is also required as an inducement for athletes to join AURA. Just as AURA is prepared to support the races, we expect that the Race Directors will support AURA. This fee will be levied only on the ultra component of a race meet.

  3. We would expect that the race director would be or would become an AURA member. The memberships fee payable by RD’s (if non-competing) is at a much lower rate than applies to full competing members).

  4. we would expect that the Race Director would co-operate in making AURA promotional material available to race contestants

  5. a requirement that we be furnished within 30 days after the race, with information for our database of the competitors (firstname, lastname, mailing address, telephone number, email address and DOB). This is for purposes of email newsletters, records and rankings and for our competitor database generally. This information will not be passed on by AURA to third parties and naturally would need the consent of the race competitor. This could be done simply by inserting a clause to this effect into the race participation agreement.

In addition to the above AURA can provide public liability insurance for any event (not restricted to ultras) for the sum of $100 per hundred competitors or part thereof. This will include the issuance of Certificates of Currency naming Police, State Parks and any other interested parties as may be required by the RD. It would be a requirement that race competitors be members of AURA (either full members or raceday members).

Liability insurance is that required by Police and state and municipal authorities. The extent of the AURA cover is $20 million. This is for any liability arising in respect of thrid parties or third party property.

An on-line entry facility is available for all sanctioned races. There is no charge for this by AURA and the merchant provider, Register Now, charges $1.10 per entry plus 2.2% of the payment amount.
